Key Responsibilities:


  • Coordinates the Cabin crew license validation/amendment process: ECAA medical Certificates, flight licenses, and DGRs; prepares all necessary documentation and papers to process licenses applications; ensures timely updating and renewing of all existing licenses. Arranges appointments for ECAA medical renewal with Medical Center.
  • Maintains an accurate log of all Cabin Crew related ECAA approvals for training facility expiries. Processes necessary applications well in advance of expiry date.
  • Maintains an accurate log of all Cabin Crew Instructor ECAA approvals to train Safety, First Aid and for Examiners, processes necessary applications for renewals well in advance of expiry date.
  • Manages the (LMS) process for the cabin crew joiners; processes the on-line registration and usernames allocation; ensures that the cabin crew enroll and complete the modules required in due time.
  • Provides technical support and instructions on using the LMS to cabin crew joiners, troubleshoots technical issues, and offers additional support as needed.
  • Follows up on the progress and results of the Cabin Crew E-learning process and communicates to concerned parties accordingly.
  • Maintains an up-to-date database of safety & training documents & records, ensuring accessibility & compliance with ECAA & Air Arabia quality assurance standards
  • Ensures all cabin crew members finalize on-line mandatory courses before expiry date; constantly follows up on courses required and staff eligibility for them.
  • Supports the Instructors by supervising (as needed) the on-line exams to ensure abidance of the crew being examined by the process.
  • Partners with Scheduling, Security and Airport Authorities to issue airport passes for the cabin crew joiners.
  • Arranges for the initial and renewal of safety practical training and the distribution/retrieval of the cabin safety procedures manual.
  • Assists the Manager in organizing agreed training courses; coordinates all arrangements for the courses including nominations, agenda, venue, material, communication, attendance sheets, certificates, etc.
  • Follows up with Line Managers and trainees to record attendance and issue certificates and adjusts attendance lists and schedules as needed.
  • Administers the Learning Management System on daily basis; creates/deletes accounts as per SLA approved terms, carries necessary upload on system, designs, and issues certificates of completion to eligible staff.
  • Prepares & follows up on online purchasing &service orders as required by the department. Controls the inventory of training material, tools, and office stationery.
  • Coordinates with internal departments on all function-related matters such as the Legal, HR, Finance (Invoices/Payments of Third Parties), IT (Smart Board issues).
  • Liaises with Cabin Crew Training Supervisor and Crew Scheduling on managing Third Party training requests and requirements. Arranges and schedules CEET slots for both Air Arabia and Third Party.
  • Organizes and records meeting minutes for the Cabin Training Department, circulates them to relevant parties, and follows up on action items.
  • Performs any additional duties as directed by the line manager. 

 

Qualities:


  • Additional training courses or certificates related to training and online learning would be an advantage. 
  • Fluent in English Language.
  • Proficient in Microsoft Office, 
  • Effective Communication 

 

Education & Experience 



  • Higher Secondary education or Diploma in Administration or Secretarial Work; a bachelor’s degree in any stream is preferred. 
  • 2+ years of experience in an administrative role in any industry, experience with airlines is a plus.
