Key responsibilities 

1. Events Management (Internal & External)

  • Work with E&S executive to review sponsorship opportunities, assess selected proposals and provide recommendations.
  • Engage, plan and closely track the negotiation process with potential partners.
  • Formulate and review simple contract agreements with partner, through close collaboration with Business Units (BUs) e.g. Legal, Insurance, Taxation etc., where applicable.
  • Negotiate with sponsors on deliverables to achieve SIA's desired outcome and ensure delivery of sponsorship benefits as per contract details.
  • Follow up on sponsorship related administrative matters e.g. flights/tickets management, seat requests etc.
  • Liaise with internal BUs as well as vendors to facilitate and operationalise events in a timely manner. Support, organise and run key company events &/or celebrations. Manage event resources, timelines and budgets.
  • Identify key discussion points and take concise notes in meetings.
  • Assist with Request For Proposal (RFP) exercise to appoint event vendors whilst complying with procurement guidelines.

 

2. Budget Management and Administrative Duties

  • Support E&S Executive in ensuring that allocated budget for each project is properly accounted for i.e. plan, track, manage and follow up on budget related matters.
  • Ensure recharges from marketing activities are properly done and kept in good order regularly.
  • Track and assist in reporting performance of sponsorship collaborations.
  • Assist department with logistics for meetings, rehearsals and events, including but not limited to e.g. securing location, room set-up, audio/visual needs, food and beverage set up etc.
  • Answer and deal directly with heavy volume of emails e.g. pertaining to event RSVP.
  • Assist on-site at fast-paced, high-profile events. With enough experience, one may be tasked to take the lead for selected workstreams.

 

Requirements

  • Diploma in Business / Events & Project Management / Marketing / MICE & Event Management
  • Excellent interpersonal skills, organizational skills, problem solving abilities and attention to detail.
  • Good verbal and written communication skills
  • Must be able to multi-task, meet deadlines and shift priorities.
  • Good project management and budgetary skills.
  • Organised and good attention to details
  • Able to work in a fast-paced environment and perform under pressure or in short turnaround times.
  • Proficiency in Office 365 applications i.e. MS Excel, PowerPoint, Word, Teams
  • Positive and energetic team player with the ability to function independently, as well as in a collaborative environment.
  • Outgoing personality
  • Prior events management / project management skills will be advantageous (bonus)
  • Competent in using in-house booking system (bonus)
  • Able to work weekends for selected events
